Classes & attendance

Classes

Classes are the foundation of your club's schedule. Each class represents a recurring training session -- for example, "Advanced BJJ", "Kids Judo", or "Open Mat". Once you create a class and assign it time slots, Omoplata automatically generates individual sessions (called occurrences) that appear on the timetable and become available for attendance tracking.


Viewing your classes

Navigate to Classes in the main sidebar. The page shows the same list of classes in three renderings, which you switch between at the top right:

Omoplata remembers your choice and opens the page that way next time. In Week and Month the arrows move through time, and Today brings you back.

Filters

Four filters apply to all three renderings. Each one only appears when you have something to filter by:

Age groupFilters by the member demographic the class is offered to (e.g., Adults, Kids).

As soon as a filter is set, Clear all appears beside it.

The week view

Each card is one session. It shows the time and duration, the class name in the class's colour, the venue and demographic, the coach -- and, depending on what is set, the fill figure ("8/15 filled"), a green tick with the number of RSVPs, and the number of scheduled trials. Which number counts what is set out under What each of the numbers counts.

Clicking the card opens the occurrence detail modal, where you view and manage attendance. At the foot of the card, Edit Class leads to the class behind it.

The list view

The list has one row per class:

Clicking a column heading sorts by it; the column menu hides individual columns.


The class overview

Clicking a class's name opens it on Overview -- the state of this one class. Three figures sit at the top:

Below that:

  • Last sessions -- the last five sessions that ran, each with the names of everyone who checked in. Clicking the date jumps into the occurrence list at exactly that session, clicking a name opens the member profile. If nobody checked in, it says so.
  • Attendance Trend -- the check-ins of the last twelve weeks as a bar chart.
  • Belt distribution -- which grades are on the mat in this class.
  • Course details -- discipline, demographic and age group, coaches, venue, participant limit, schedule and the active options (Accept trial leads, Requires assignment) at a glance, with a link into the edit form.

Creating a class

To create a new class, click the Create class button in the top-right corner of the Classes page. This opens a form where you configure the class details.

Required fields

NameA descriptive name for the class, such as "Monday Night No-Gi" or "Fundamentals BJJ".
DemographicWhich member groups this class is offered to (e.g., Adults, Kids). You can pick several -- for example Teens and Adults for a shared session. If your club only has one demographic configured, this is selected automatically. See Who may attend which class.
Time slotsAt least one weekly time slot must be defined. See Time slots for details.

Optional fields

FieldDescription
HeadlineA short subtitle displayed on the public club website timetable below the class name. For example, "All levels welcome" or "Competition preparation".
Max participantsThe maximum number of members that can attend each session. When set, the member portal prevents new sign-ups once this limit is reached and displays a "class full" message. The admin timetable shows a fill indicator (e.g., "12/20 filled"). Individual occurrences can override the limit.
Max trial leadsHow many trial sessions can be scheduled per session when the class accepts trials. Leave empty for no limit; 0 takes no trials unless a single occurrence allows some.
TrainerThe default instructor for this class. The trainer is displayed on occurrence details and the public timetable. Individual occurrences can override the trainer if needed.
DisciplineThe martial art discipline (e.g., BJJ, Judo, Muay Thai). This is used for filtering and is relevant for belt graduation tracking.
Age groupIf your demographics have age groups configured, you can restrict the class to a specific age bracket. Only available while the class is offered to exactly one demographic.
VenueThe location where the class takes place. Required if your club has multiple venues.
ColorPick a color from the palette to visually identify the class on the timetable. For example, you might use blue for BJJ classes and red for Muay Thai.
Requires assignmentWhen enabled, members must be assigned to specific time slots before they can attend. See Class assignments below.

Automatic scheduling

When you create a class, Omoplata automatically generates occurrences for the next 12 months based on the time slots you define. Public holidays in your region are detected and those sessions are marked as cancelled by default. You can also cancel sessions in bulk using closure times.


Editing a class

To edit a class, click Edit Class at the bottom of a session card in the timetable, or open the class page and select Edit in the sidebar. The class pages -- overview, edit, occurrences and time slots -- follow the same layout as the settings.

The edit form contains the same fields as the creation form, grouped into sections (Who it is for, Basics, Coaches, Location, Colour, Options, Schedule). Changes you make here take effect for future occurrences. For example, changing the trainer updates the default trainer for all upcoming sessions that do not already have a trainer override.

After making changes, click Save changes to apply them.

Editing time slots

You can add or remove time slots when editing a class. When time slots change, Omoplata recalculates future occurrences to match the new schedule. Existing past occurrences and their attendance records are preserved.

A new schedule rebuilds the occurrences

Recalculating deletes the future occurrences and generates them again. Everything that hung on a single occurrence goes with them: its per-occurrence limits, a different name, a different time and trainer, the planned content, a one-off cancellation -- and the attendance RSVPs for those sessions. The same happens when you toggle Requires assignment.

Past occurrences and their attendance are untouched, as is any future occurrence that already has a trial booked onto it.


Deleting a class

To delete a class, open the class edit page and click Delete in the Danger zone at the bottom. This removes the class and all of its future occurrences. Past occurrences and attendance records for sessions that already took place are retained for historical reporting.

Deletion is permanent

Deleting a class cannot be undone. If you only need to temporarily suspend a class, consider removing its time slots instead. This stops new occurrences from being generated while preserving the class configuration.


Who may attend which class

Whether a member may attend a class depends on two sides that have to match:

  • The class is offered to one or more demographics -- only Kids, say, or Teens and Adults together.
  • The member trains with one or more training groups. When they are created they get their plan's group; you can change it on the member profile.

A member may attend a class as soon as at least one of their groups is among the class's demographics. If the class is also restricted to an age group, that counts too.

Example: a teenager on the threshold

A club runs kids', teens' and adults' classes. Thursday's session is for Teens and Adults -- so every teenager may join. A 16-year-old who is ready should also attend the other adult classes: you add the training group Adults on their profile. They keep their teens plan and their price.

This check applies at check-in, in the app's schedule and in the class-assignment pickers. Prices, fees, contracts and segments still follow the plan.


Class assignments

Some clubs require members to be pre-assigned to specific weekly time slots rather than allowing open attendance. This is common in kids' programs or when mat space is limited.

To enable this, check Requires assignment when creating or editing a class. When active:

  • Members must be linked to specific time slots through their membership. An admin assigns each member to one or more weekly slots (e.g., "Monday 17:00" and "Wednesday 17:00").
  • The portal only shows sessions the member is assigned to.
  • Check-in validates that the member is assigned to the current session.
  • The occurrence detail view lists assigned members separately from those who indicated attendance through the portal.

You can view which members are assigned to each time slot under the Time slots tab in the class detail sidebar. If your club assigns members to whole classes rather than individual time slots, the tab is called Members and shows one list for the whole class -- including for a class that follows a custom recurrence schedule and therefore has no weekly time slots at all.

If your club assigns members to neither classes nor time slots, but to sports or not at all, the tab is missing entirely -- there would be nothing to show.
