Members
Member profile
The member profile page is the detailed view for an individual member. The same band sits above every one of its pages, carrying the name, the status and the facts your team reaches for first; you switch pages below it -- on wide screens through a grouped rail on the left, on narrow ones through a tab strip. This page covers the band, the navigation, and the Overview and Profile tabs.
The member band
The band sits above every page of a member. It answers who this person is and what needs doing, without you having to change page:
| Area | What it shows |
|---|---|
| Name | Profile picture, full name and the membership status as a coloured chip. Plus the Responsible and Trainer chips where the person is those too -- both at once is possible. |
| Identity line | Member number, age and since when the person has been a member. |
| Contact | Email and phone number to click, the member's venues and their current belt. Where a child has no email address of their own, the guardian's is shown instead and labelled as such. |
| Family | For a child, the linked guardian; for an adult with children, their children with plan and status -- each one linked. |
| Actions | Create invoice and a menu with the remaining actions: record a transaction, sign in as the member, send a password link or resend the welcome email, add or remove a guardian, grant or revoke the trainer role, delete the member. |
Band stats
Below that sits a row with the figures most often asked for in a conversation:
| Stat | Meaning |
|---|---|
| Membership | Plan, amount and billing interval, plus the date of the next charge. |
| Last check-in | When the member last trained, and in which class. If that is more than 30 days ago, the tile is highlighted. |
| Attendance | Check-ins per week averaged over the last six weeks, with this month's check-ins below. |
| Pays | Who pays the membership -- the member themselves or the guardian -- and with what. |
| Pays for | Payers only: how many other people's memberships this person carries, for whom, and what is charged per cycle. |
Only what has already happened counts -- a class booked ahead is not a check-in.
Payment data needs a permission
The payment method and the No payment method on file flag only appear in the band for staff allowed to see payment methods. A trainer without that permission sees who pays, but not with what.
Flags
Whatever needs attention sits in the band as a coloured flag -- with the matching action right next to it. There are no separate warning banners above the page any more.
| Flag | When it appears | Actions |
|---|---|---|
| Not onboarded | The invitation has not been opened yet. | Resend invitation, Copy link |
| Onboarding incomplete | Sign-up was started but not finished. | Resend invitation, Copy link |
| No payment method on file | A paid membership is running, but the payer has no payment method on file. | Copy link |
| No responsible | The member is a minor and has no guardian linked. | Add responsible |
Copy link puts the matching link on your clipboard -- the sign-up link, or the link through which the payment method is added. You can then send it by messenger or in an email of your own instead of waiting for the automatic invitation.
Only staff allowed to manage members see the actions.
Navigation
On wide screens, a rail on the left lists every page of this member, grouped by topic:
| Group | Pages |
|---|---|
| Person | Overview, Profile, Dependents |
| Training | Check-ins, Passes, Equipment |
| Money | Memberships, Payment Methods, Billing, Vouchers |
| Record | Notes, Documents, Communications |
| Access | App, Security |
Which pages appear depends on the member's roles, the features your club has switched on and your own permissions: a guardian without a membership of their own has no Check-ins, for example, and Equipment only appears when handovers are switched on in the shop settings. On narrow screens the rail becomes a tab strip above the page content.
Overview tab
The Overview tab is the default landing page when you open a member's profile. It provides a dashboard-style summary of the member's activity and status.
Key metrics
Three stats are displayed prominently at the top:
| Metric | Meaning |
|---|---|
| Classes this month | How often the member checked in this month, with the difference against last month. |
| Classes in total | Every check-in this member has, with the date of their first class below. |
| Paid so far | What this member has actually paid so far, and across how many collected payments. |
Date of birth, membership and "member since" are no longer here -- they moved into the band above the page.
Attendance chart
Below the metrics, a line chart shows the member's attendance history over time. Each data point represents the number of classes attended in a given period. If the member has children registered at the club, their attendance lines appear on the same chart for comparison.
Graduation progress
When the graduation feature is enabled, the overview shows:
| Display | Description |
|---|---|
| Attendance until graduation | A progress bar showing how many classes the member has attended since their last promotion, relative to the number required for the next belt. The remaining classes are displayed below the bar. |
| Classes breakdown | A doughnut chart showing attendance distribution across different class types (for example, Fundamentals vs. Advanced). |
| Current belt | A visual representation of the member's current belt with stripe count. If the belt system defines a maximum number of stripes, the current and maximum values are shown. |
An Award graduation button appears for each discipline, allowing you to promote the member directly from the overview. For disciplines where the member does not yet have a belt, a button is also available to award the initial belt.
Activity log
The right-hand column displays a searchable activity log showing recent events for the member, such as membership changes, payment events, graduation awards, and profile updates. Use the search field to filter activity entries by keyword.
Onboarding alerts
Status New means the member was created but sign-up has not started at all -- the invitation has not been opened. Status Onboarding started means they opened the flow but did not complete it. In both cases the matching flag sits in the band, with Resend invitation and Copy link next to it.
Profile tab
The Profile tab contains the member's personal information form and guardian management.
Personal information
The personal information section includes fields for:
- First name and last name
- Email address
- Date of birth
- Phone number (with country code)
- Gender
- Profile picture
Online status
The members list shows each member's last online activity. A green dot indicates the member is currently online. For members who have logged in before, the relative time since their last activity is shown (for example, "2 hours ago").
Address
Below personal information, you can manage the member's address with fields for street, ZIP code, city, and state.
Billing address
If a member or their company needs invoices issued to a separate billing address, you can add a Billing address below the standard address form. The billing address supports:
| Field | Description |
|---|---|
| Company name | For corporate memberships or members who train under a business. |
| VAT number | For members or companies that require a tax identification number on invoices. |
| Full address | Street, ZIP code, city, and state, separate from the home address. |
When a billing address is set, invoice PDFs automatically use it for the buyer block. If no billing address is configured, invoices fall back to the member's home address. The billing address is optional -- most individual members will not need it.
Training groups
Which groups the member trains with -- for example Teens, or Teens and Adults. This decides which classes they are offered and which they can check in to, regardless of plan and age. At least one group must stay selected. Before you remove a group, the section lists the assigned classes that would then fall outside the member's groups. See Training groups.
Sports, classes, or time slots
Depending on your club's membership selection mode (configured in Settings), the profile page shows one of three selection interfaces:
| Option | Description |
|---|---|
| Sports | The member selects which sports they practice. |
| Classes | The member selects which weekly classes they attend. |
| Time slots | The member picks specific weekly time slots. |
The member's current plan limits how many items they can select. When the limit is reached, additional options are disabled. Administrators can override this limit when editing a member through the admin interface.
Responsible / guardian management
When a member is under age (determined by their date of birth or by the presence of a linked responsible), the profile page shows guardian management controls.
Adding a responsible
If a minor member has no guardian linked, the band carries the No responsible flag with an Add responsible button -- on every page of this member, not just the profile. Clicking it opens a modal to create or link a guardian.
Primary and secondary responsibles
A member can have multiple adults linked to them:
| Role | Description |
|---|---|
| Primary responsible | The main guardian and billing payer. Payment methods and membership charges are associated with this person. |
| Secondary responsible | Additional adults who can access and manage the child's portal account (for example, a second parent or grandparent). They can view the child's profile, classes, and attendance, but are not the payer. |
Both primary and secondary responsibles receive access to manage the child through the mobile app and the portal. If a guardian also trains at the club, they see both their own membership and the children overview in a single family dashboard.
Changing the primary responsible
When a secondary responsible is promoted to primary:
- The primary flag is updated.
- Payment methods are transferred from the old primary to the new primary.
- Active membership billing is reassigned to the new primary.
Removing a responsible
- Secondary responsibles can be removed at any time.
- The primary responsible can only be removed if the member is 18 or older.
- If the primary responsible is removed and secondary responsibles exist, the first secondary is automatically promoted to primary.
- Removing a responsible transfers any stored payment methods back to the member and updates the membership payer.
Child email requirement
When creating a minor member who requires a responsible, the member's email may be left blank. If an email is provided, it must differ from the responsible's email to avoid duplicate login conflicts.
Security tab
The Security tab on a member's profile shows all currently active login sessions for that account. This is useful when investigating suspicious access or helping a member who has been locked out.
Active sessions
Each session entry displays:
| Field | Description |
|---|---|
| Browser and device | The browser name and operating system parsed from the user agent (for example, "Chrome on macOS" or "Safari on iPhone"). |
| IP address | The IP address from which the session was established. |
| Location | An approximate city and country derived from the IP address. Private or internal IP addresses show as "Location unavailable". |
| Last activity | How long ago the session last made a request. |
Revoking sessions
| Action | Description |
|---|---|
| Revoke a single session | Click the revoke button next to any session to immediately terminate it. The member will be logged out on that device at their next request. |
| Log out all other sessions | Terminates all sessions except your own current admin session. |
Remember-me cookies
Revoking a session also cycles the member's remember-me token, which invalidates any persistent "stay logged in" cookies across all their devices. The member will need to log in again on any device where they had a saved session.
Activity log
The activity log on the overview tab records all significant events for a member. Events are logged automatically and include:
- Membership creation, cancellation, and status changes
- Payment method updates
- Graduation awards
- Pause creation and modification
- Profile edits
- Invitation emails sent
You can search through the log using the search field at the top of the column.
